How to write a payment receipt

  1. 1

    Add your business details

Enter the name your client pays, your address and a phone number or email. Give the receipt its own number, separate from the invoice number.

  2. 2

Name the payer and what the payment was for

Add the client’s name and contact details. Under Additional details, record the invoice number, the invoice total and the payment reference, such as a check number or transaction ID.

  3. 3

    Enter the amount actually received

For a partial payment, deposit or installment, use one line such as “Payment toward invoice INV-1042” with the amount received. If the client paid an invoice in full, you can list the invoice items instead.

  4. 4

Show the balance and payment method

Add the balance remaining (or $0.00 if paid in full), choose how the client paid, and download the PDF to email or print. Keep a copy with the invoice.

What a payment receipt should include

A payment receipt is your written confirmation that money arrived. It should let you and your client match the payment to the right invoice months later.

Who was paid
Your business name and contact details, exactly as on the invoice.
Who paid
The client or customer who made the payment, and the account or company name if different.
Date received
The day the money reached you, not the invoice date or due date.
Amount received
The exact amount of this payment, in the currency it was paid in.
What it was for
The invoice number, order, project milestone or service period the payment covers.
Method and reference
Cash, check, card or transfer, with the check number or transaction ID.
Balance remaining
What is still owed after this payment, so both sides agree on the total.
Receipt number
A unique number for this receipt, so a payment is never recorded twice.

When to send a payment receipt

Send a payment receipt whenever a client pays you outside a system that issues one automatically. Common cases are invoices paid by bank transfer or check, cash paid in person, a deposit or retainer taken before work starts, and each installment of a payment plan.

If a client pays by card through a payment processor, they usually get an automatic email from the processor. That email proves a charge was made, but it rarely says which invoice or service it covered. A short payment receipt from you that references the invoice number closes that gap and saves questions at tax time.

Partial payments, deposits and installments

Issue a separate receipt for every payment, even when several payments go toward the same invoice. Each receipt should show the amount received that day and the balance remaining afterwards. Read together, the receipts give a running record of how the invoice was paid off.

Keep the line items simple. Rather than copying the whole invoice onto every receipt, add one line such as “Deposit toward invoice INV-1042” or “Installment 2 of 4” with the amount received. Put the invoice total and the balance under Additional details so they stand out.

Not sure whether you need an invoice or a receipt? An invoice asks to be paid and a receipt confirms you were. Our guide to the difference between a receipt and an invoice explains when to use each.

Payment Receipt FAQ

What is a payment receipt?

A payment receipt is a document from the person or business that received money, confirming the amount, the date, who paid, what the payment was for and how it was made. It is issued after payment, unlike an invoice, which requests payment.

How do I write a receipt for a partial payment?

Record only the amount received today as a single line, reference the invoice number, and list the invoice total and the balance remaining under Additional details. Issue a new receipt with its own number for each later payment.

Is a payment receipt the same as proof of payment?

A receipt from the person who was paid is one of the strongest forms of proof of payment, because it confirms the money was received. Bank statements and card statements show that money left the payer’s account, and the two together give a complete record.

Should a payment receipt include sales tax?

Only if you charged tax on the sale. When a payment is made against an invoice that already included tax, record the amount received and set the tax rate to 0 so tax isn’t counted twice. The invoice remains the record of the tax charged.

Do I need to send a receipt if the client paid by card online?

It isn’t always required, but it is good practice when the processor’s automatic email doesn’t name the invoice or service. A receipt that references the invoice number makes bookkeeping easier for both of you.

Is the payment receipt generator free?

Yes. You can create and download payment receipts as PDFs for free, without signing up. What you type stays in your browser and is never uploaded to our servers.
