Rent Receipt Sample: 3 Filled-In Examples
Not sure what a finished rent receipt should look like? Below are three complete samples for the situations landlords run into most: a full payment in cash, a partial payment by check and a security deposit. Each one comes with notes on why it works, followed by a field-by-field guide you can use for your own receipts.

Sample 1: Monthly rent paid in full in cash
The most common rent receipt: one month’s rent, paid in full, handed over in cash on the due date.
Why this receipt works
- Shows the exact rent period, so there is no doubt which month was paid.
- States the payment method, which matters most for cash because there is no bank record.
- Confirms a balance of $0.00 and has a line for the landlord’s name, title and signature.

Sample 2: Partial rent payment by check
A tenant pays part of the month’s rent by check and agrees to pay the rest later. The receipt records only what was received.
Why this receipt works
- The amount is the $1,200 actually received, not the $2,100 monthly rent.
- The full monthly rent and the remaining balance are listed as details, so both sides can see what is still owed.
- The check number links the receipt to the tenant’s bank records.

Sample 3: Security deposit receipt
A separate receipt for the security deposit paid at lease signing, kept apart from rent receipts.
Why this receipt works
- Names the payment as a security deposit, so it is never confused with rent.
- References the lease and the lease start date.
- Records a bank transfer, giving both sides a clear paper trail for the move-out refund.
How to fill out a rent receipt, field by field
Every sample above uses the same ten fields. Fill them in this order and your receipt will answer the questions a tenant, an accountant or a court is likely to ask.
- 1
Receipt number
A unique number for every receipt, such as 2026-010. Numbering by year and month makes receipts easy to find later.
- 2
Date received
The day the money reached you. If rent was due on the 1st but paid on the 3rd, write the 3rd.
- 3
Landlord or manager
The name of the person or company that received the rent, with an address and a phone number or email.
- 4
Received from
The tenant’s full name. If someone else paid for them, name the payer and mention the tenant in the notes.
- 5
Property address
The full rental address including the unit or apartment number, as it appears on the lease.
- 6
Rent period
The dates the payment covers, for example Oct 1, 2026 – Oct 31, 2026, not just the month name.
- 7
What was paid
Rent on its own line, with any parking, utilities or late fee on separate lines. Enter only the amount actually received.
- 8
Payment method
Cash, check, money order or transfer. Add the check or money order number when there is one.
- 9
Balance due
What the tenant still owes for the period, or $0.00 if paid in full.
- 10
Received by and signature
The name and title of the person who took the payment, such as Maria Gonzalez, Landlord, and their signature on printed copies.
Common rent receipt mistakes
Writing the due date instead of the payment date
If rent was late, the receipt should show when it was actually paid. Otherwise the receipt and your bank deposit won’t match.
Leaving out the rent period
“Rent – $1,375” doesn’t say which month was paid. Always state the period the payment covers.
Recording the full rent for a partial payment
A receipt is proof of what was received. If the tenant paid $1,200 of $2,100, the receipt says $1,200 and shows the $900 balance.
Combining the security deposit with rent
Deposits are usually returned at move-out and are often regulated separately. Give them their own receipt.
Forgetting the unit number
For buildings with several units, the street address alone doesn’t identify the rental.
Not keeping a copy
Landlords should keep every receipt for their records and taxes; tenants should keep theirs as proof of payment.
Rent receipt sample FAQ
What is the standard rent receipt format?
There is no single official format. A rent receipt is complete when it shows the date received, the amount, the tenant, the property address, the rent period, the payment method, any balance due and the name and signature of the person who received the payment. Some states set specific requirements, so check local rules.
Can I copy one of these rent receipt samples?
Use them as a guide to layout and wording. Replace every name, address, amount and date with your own details. The quickest way is to fill in the free rent receipt generator, which follows the same format.
Is a handwritten rent receipt valid?
A handwritten receipt with all the key details and a signature is generally fine as a record of payment. Printed or PDF receipts are easier to read and to store, which helps if there is ever a dispute.
Should a tenant fill out their own rent receipt?
No. The landlord or the person who received the rent issues the receipt. A tenant can bring a blank or pre-filled form and ask the landlord to complete and sign it.
