Select cash, check, money order or transfer. Keep the signature line switched on, download the PDF, then sign the printed copy or send it by email.

What to include on a rent receipt

A rent receipt is the tenant’s proof that they paid and your record that you were paid. Include enough detail that anyone reading it later can tell exactly what the payment covered.

Date received
The day the payment reached you, not the day rent was due.
Tenant name
The person who paid, and the tenant if someone else paid on their behalf.
Property address
Street address and unit number of the rental.
Rent period
The dates or month the payment covers, such as November 1–30.
Amount and method
How much was received and whether it was cash, check (with number), money order or transfer.
Balance and signature
Any amount still owed, plus the name, title and signature of the person who received the rent.

Do landlords have to give rent receipts?

It depends on where the property is. Some states require a written receipt in certain situations. In New York, for example, state law requires a landlord to give a written receipt for rent paid in cash or any form other than the tenant’s personal check, showing the date, the amount, the property, the rent period and the signature and title of the person who received it (N.Y. Real Property Law § 235-e). Other states and cities have their own rules, so check your local landlord-tenant law.

Even where it isn’t required, giving a receipt for every payment is good practice. It prevents disputes about whether rent was paid, gives tenants proof of rent history for future applications, and keeps your own records tidy at tax time.

Rent receipts for cash, partial payments and deposits

Always give a receipt for cash. Without one, the tenant has no proof of payment and you have no record that matches your bank deposits. Print the receipt and hand it over when you collect, or use the printable receipt book and keep the stub-style copy for yourself.

For a partial payment, enter only the amount actually received and add a Balance due line under Additional details. For a security deposit, issue a separate receipt that names it as a security deposit. Many states regulate how deposits are held and returned, so a clear record helps both sides at move-out.

Rent Receipt FAQ

Who should fill out a rent receipt, the landlord or the tenant?

The person who received the rent (the landlord, property manager or an authorized agent) issues and signs the receipt. A tenant can download a template and ask the landlord to complete and sign it, but a receipt the tenant writes for themselves isn’t proof of payment.

Can I give an electronic rent receipt instead of paper?

Usually, yes. Emailing the PDF is a common and convenient option. Where state or local rules require specific details or a signature, make sure your receipt includes them, and keep a copy for your records.

How do I show a late fee on a rent receipt?

Add the late fee as its own line under Items so the tenant can see the rent and the fee separately. Late fees are limited by law in some states and cities, so check the rules where your property is.

How long should landlords keep rent receipt copies?

Keep copies for at least as long as your tax records and any period set by local law. Several years is common. Because Receiptpress doesn’t store your receipts, save each PDF you download.

Can I use a rent receipt as proof of residence or for a rental application?

Rent receipts issued and signed by your landlord are often accepted as supporting proof of address or rent history, but each organization sets its own requirements. Never create or alter a rent receipt for rent that wasn’t paid; doing so is fraud.

Is the rent receipt generator free?

Yes. The online generator and all three rent receipt templates are free, with no sign-up. Receipts you create online stay in your browser.
