How to fill out a grocery receipt
- 1
Enter your store or stall details
Use the name customers know you by, plus an address or market location and a phone number or email. For a market stall, the market name and your booth number work well.
- 2
Add each item with its unit
Put the unit in the description, for example “Tomatoes (per lb)” or “Eggs (dozen)”. For goods sold by weight, enter the weight as the quantity (such as 2.35) and the price per pound as the unit price.
- 3
Set the sales tax rate
Many US states exempt groceries from sales tax or tax them at a reduced rate, while prepared food and soft drinks are often taxed in full. Enter the rate that applies to what you sold, or 0 if your sale is exempt.
- 4
Choose the payment method and download
Pick cash, card or another method, add a short note such as your exchange policy, then download the PDF to print or send to your customer.
What a grocery receipt should include
Grocery sales are often small and fast, but a receipt still needs enough detail for your customer to check the price and for you to reconcile the day’s takings.
- Seller name and location
- Your business, farm or stall name and where the sale took place.
- Date of sale
- Important for perishables and for your own bookkeeping.
- Item and unit
- What was sold and how it was measured: per pound, per dozen, per bunch or per piece.
- Quantity and unit price
- So the customer can see how each line total was worked out.
- Sales tax, shown separately
- Only if you collected it, at the rate your state requires.
- Total and payment method
- The amount received and whether it was cash, card or another method.
Who uses a grocery receipt template?
Most supermarkets print receipts from their point-of-sale system, so this template is for the many food sellers who don’t have one. Farmers market vendors and farm stands use it to give regular customers a record of what they bought. Community-supported agriculture (CSA) farms use it to confirm share payments. Corner stores, food co-ops and cottage food businesses, such as home bakers and jam makers, use it when a customer asks for a receipt for their records.
Personal shoppers and grocery delivery helpers can also use it to bill a client for their own service fee. For the groceries themselves, hand over the original store receipt so your client can see exactly what the store charged.
Grocery receipts and sales tax
Sales tax on food in the United States depends on the state and sometimes on the city or county. Unprepared food such as fruit, vegetables, eggs and bread is exempt in many states, while hot prepared meals, candy and soft drinks are commonly taxed. Your state’s department of revenue publishes the current rules.
Receiptpress applies a single tax rate to the whole receipt. If one sale includes both taxable and exempt items, set the tax rate to 0 and add the tax you collected as its own line, for example “Sales tax on taxable items (7%)”, so the total still matches what the customer paid.
Grocery Receipt FAQ
Can I recreate a receipt from a supermarket I shopped at?
No. Receiptpress is for receipts you issue for your own sales. If you lost a receipt from a store, ask that store for a copy: many can reprint it from your card or loyalty account, and your bank or card statement also shows the purchase.
Can I use these receipts with cash-back or receipt-scanning apps?
No. Rewards and rebate apps require the original receipt from the retailer where you shopped, and submitting a receipt you made yourself breaks their rules. Use this generator only for sales you made to your own customers.
How do I show produce sold by weight?
Write the unit in the item description, such as “Peaches (per lb)”, enter the weight as the quantity (for example 1.75) and the price per pound as the unit price. The line total is calculated automatically.
Do I have to charge sales tax on groceries?
It depends on your state and on what you sell. Basic groceries are exempt or taxed at a reduced rate in many states, but prepared food and some drinks usually are not. Check with your state’s department of revenue. Receiptpress does not give tax advice.
Can I print the receipt on a thermal receipt printer?
The download is a standard US Letter PDF designed for regular printers, email and record keeping. Thermal printer formats are not supported yet.
Is the grocery receipt generator free?
Yes. You can create and download grocery receipts for free without signing up, and the details you enter stay in your browser.
